The Family Educational Rights and Privacy Act (FERPA) or more common as the Buckley Amendment, describes the protection of student educational records by covered educational institutions. FERPA affords privacy to both parents and students with regard to how educational records are disclosed. The amendment covers schools and other educational institutions that receive government funding through their programs. Moreover, schools that impose policies denying parents or guardians access to their student’s records will not be allocated with funds from applicable government programs.

The regulation also identifies materials considered as education records, and whether they are to be disclosed with or without written authority by the student. Among these records include physical and psychological examination results, grades, personal information, and academic achievements. Parents or guardians wanting to monitor their student’s performance in school can always use the provisions of the amendment to legally acquire the needed information. However, these rights will be transferred to the student upon reaching 18 which turns the child to a legal student. In addition, parents who are covered with the disability act can request for a representative to perform the review of educational records on their behalf.

Concerning the directory information used by educational institutions, by its nature, this information is at all times available for release. However, a student can restrict the release and listing of directory information. This means, that any issuance of directory information despite a current hold is a clear violation of the provisions of FERPA.

The right to correct erroneous entries in students’ educational record is also among the things addressed in FERPA. Parents or students can always contend to the validity of the information included in the education record. You can’t get things done efficiently if you don’t have a record storage system for handling and storing paper and other documents that come across your desk. It’s important to be able to put your hands on papers quickly, and to be able to switch gears quickly and start working on something else when you need to. To do so, you need to keep related papers together. And you need to know how to find them.

Some experts say, “You should be able to put your hand on any piece of paper in your office in ten seconds or less.” Some people probably can, but you wouldn’t want to know them. Close is good enough in paper-handling. As long as you can put your hand on anything in a minute or so, you’re doing fine.

To do your best work, and to focus solely on the task at hand, be able clear your desk at a moment’s notice. This provides a psychological benefit as well as a spatial one you’re cleared for takeoff.

Being able to clear your desk quickly requires knowing a few tricks. The first is to handle all paper in one location. Not one office, but one desk and an adjacent filing cabinet. You need a “command center” to force you to deal with inefficient piles (else how can you work at your desk?) and to limit the number of places paper can be.

Trick number two is knowing how to organize the paper you now have. This is simple. You need a filing cabinet (or a filing crate if you want to save money), a box of manila folders, a box of hanging folders, and labels.

Go through all your loose paper. Put related items in a manila folder. Type or print neatly the folder’s contents on a label. “Rivera Project,” for example, or “Memos on Product X.” If you need a series of folders for a particular project or subject, then group them together into a hanging file.

Unless you’re now working on that folder or you work on it regularly, file it in the filing cabinet. If the file is going to grow, give its own hanging file. If not, put it with other files that relate somehow. Call it something that you’ll remember and that will remind you of what’s inside. ”New Product Warranties” is one example. “Information on NAFTA” is another. Keep files in strict alphabetical sequence.

When naming files don’t follow anyone’s suggestions but your own, name them something descriptive and distinctive that will stick in your mind. If you ever have trouble finding a file, either fix it well in your mind or rename it.

Some people like to create an index of their file names so they can scan it before they get out of their chairs to find the file. If your labels remain neat and visible, I don’t see the advantage. But maybe the idea appeals to you. Handle all your paper in one location only. You need a command center to deal with it efficiently. You also need a place to put files you’re working on or those you consult frequently. Use the first position in the top drawer of your file cabinet. Better yet, buy a file rack that stands on the desktop. Quite handy, they come in wire or plastic format, and in various sizes. A desk rack keeps all the files you need for that day or that week within easy reach.

What about multi-tiered, horizontal trays? Hmm. They take up a lot of room, and they aren’t that easy to access. (Ever try to find a piece of paper somewhere in the pile on the bottom tray?) You might use one as an in-box and maybe another as an outbox if you need it. But use them only for transitory items never to store things longer than a day or two.

The thing that most companies like best about offsite storage is that the backup files aren’t in their office and/or home. This means that when you need to review a file, you don’t have to worry about driving clear across town just to pick up a CD. You just need to log onto your account and pull type in the name of the file you need. Most people claim that this is faster than trying to find where they stored the CD in their office.

Web sites exist where you need to pay a fee to find information about yourself. The amount of the fee is determined by the number of searches. You can search the county clerk’s office, criminal records and so on. You only need to type in your Social Security Number, date of birth, name, and street address. The site will look through public records for civil suits, bankruptcies, criminal convictions and so on. Do remember that thieves can find this information, too.

The Fair Credit Reporting Act (FCRA) governs public access to critical financial records, so the identity search sites are not allowed to run financial queries. The FCRA needs your permission to run a financial and credit check. You fill and sign a form to grant permission to mortgage company, a prospective employer, or car dealership to run a financial and credit check. Without this form, they cannot run a check legally.

The FCRA also demands that if derogatory information shows up in the report, you get a duplicate so you can dispute its contents.

If you use a computer, you should really make an effort to backup all of your files. When you are on your computer and working on a file you should back up the file that you are working on every fifteen minutes. When you are finished working and preparing to shut off your computer you should backup your entire file to your backup system. Most of us have sworn that we will never go back to using our old film cameras now that we have started using a digital camera. The digital cameras are just so nice. The best part about them is that we no longer have to pay to develop a roll of film only to discover that the pictures we took were terrible.

Even thought the digital camera is one of the trendiest gadgets available today, that doesn’t mean that digital cameras aren’t without flaws. We have a tendency to take a whole bunch of photos and then leave them on the hard drive of our computers. This takes up a great deal of our computers memory. One of the most confusing things about the digital photos is how we end up with so many duplicate copies of the photos.

The reason that most of us get so many duplicate photos is that, since we don’t have to worry about developing the film, we take lots of photos of one thing.
